Power Automate Send Birthday Wishes [Email & Teams]

We built a Power Automate flow that automatically sends birthday wishes to employees and notifies their managers.

Features:

• Automated Birthday Wishes – Sends a birthday email and a Teams message to employees on their special day.
• Manager Notifications – Notifies the manager on the employee’s birthday and also sends a reminder three days in advance.
• Office 365 & SharePoint Support – Works with Microsoft Entra ID (formerly Azure AD) or a SharePoint list to retrieve employee birth dates.

How It Works:

• Runs Daily – A scheduled Power Automate flow checks birthdays every day at 10 AM.
• Sends Timely Notifications – If today is an employee’s birthday:
  • The employee receives a birthday wish via email and Teams.
  • Their manager gets a notification.
  • The manager also receives a reminder three days before the birthday.

SharePoint Setup (Alternative Method):

We created two different flows that produce the same output, but the method for retrieving the date of birth differs:

• First Flow – If your organization stores employee birthdays in Office 365, use this flow to retrieve the data automatically.
• Second Flow – If birthdays are not stored in Office 365, use this flow where employee names and birthdates are manually stored in a SharePoint list.

SharePoint List Setup (Using PowerShell):

1. List Name – Employee Birthday
2. Columns:
   1. Employee Name – Person or Group
   2. Date of Birth – Date and Time
